Negotiations Continue and Needs@ Returns

Contract negotiations with Polaris continue. At this point, we're still developing the project through the contracting process. We're determining things like how many hours of training they'll provide, which optional features and services we'll implement, and developing a high level project plan.

I know many of you already have lists of questions and considerations regarding this process, and I appreciate your patience as we continue with contract negotiations. As Yogi Berra once said, "If you don't know where you're going, you might not get there." We're still working out our project goals, so we can't answer many questions yet on how we'll achieve them.

That said, we want to make sure we're gathering all of your notes so we can ensure all questions will be answered and concerns addressed. Read on to learn how to be heard.

Submitting Questions - Use Needs@

As noted above, we know you have questions, and we don't have all of the answers yet. Debra will be continuing library visits during our project planning phase and noting training needs and other important project considerations. But you don't have to wait for us to come to you. 

Submit your questions and comments to needs@ccslib.org. As we did during our needs analysis and RFP response evaluation, we'll monitor this inbox carefully. Questions that we can answer, we will. All questions will be added to our master list, and we will answer them as information becomes available.

eCommerce Integration Call

We know that online payments are a key service you provide to your community, and we have a number of options with Polaris. Our sales rep Carrie Pearson is working on setting up a call about ecommerce integration options. We will share the call information as soon as possible so libraries can designate appropriate staff to attend.

Attendance on this call will not be required, and all information shared from the call will be distributed to libraries.

What about my <insert third party integration here>?

One question that has already come up regards third party integrations like CollectionHQ, Stack Map, Boopsie, and other tools that integrate with the ILS.

There is no need for you to contact your vendors at this time.

One major element of our migration will be working with you and each of the third parties that touch the ILS to configure and test connections.

If you're not sure if CCS is aware of one of your integrated products, take a look at the RFP (specifically pages 4, 5, and 10) to see which tools and vendors we specified at that stage. If your vendor isn't listed, that doesn't mean you've been forgotten. Email needs@ccslib.org and we'll make sure your tool is on our project list.

As we move into the project planning phase, we will be able to share more specifics about how we will integrate each tool and when in our timeline we'll be ready to configure and test.

How do I stay informed?

We will send migration updates as needed, targeting one email per week. If you're receiving this email, you're already on the CCS News list, and will receive migration updates. Forward this email and encourage your colleagues to subscribe to stay up-to-date. 

We will also develop a migration portal that will archive our migration updates, list important dates, documentation, etc. Please stay tuned for more information as that tool develops.
