Advisory Council Meeting Recap

The Advisory Council (AC) met on Friday, February 19 via Zoom. Discussion topics included campus updates regarding services and the ongoing pandemic, the 2021 Annual Meeting, 2021–2023 program plan and work priorities, and planning for the Governing Board meeting on Thursday, March 4.

During the spring semester, most TRLN libraries are continuing to offer the same modified services that were offered in the fall due to COVID-19. Buildings remain largely closed or with minimal access. Though campuses differ in the level of building access for students and the larger community, all TRLN libraries have similar rules of mask wearing, no eating, and using reservation systems for study space. Users must request materials to be delivered via takeout, and staff continue to scan a high volume of materials. Most staff work on rotating schedules consisting of in-person and remote work to help reduce the spread of COVID-19.

Three years ago, the AC held a one-day planning retreat to set priorities as a consortium, develop a three-year work plan (2019–2021), and revisit the organizational structure of TRLN. This year, TRLN staff have drafted an update of that three year plan and added guiding principles. We have solicited and received input from many of those involved in TRLN working groups and interest groups. The AC is working on a process for finalizing this document. Once the document is finalized, we will share the program plan and work priorities via the newsletter and the website. The updated plan will be revisited every year. 

The TRLN Governing Board meeting will be held on Thursday, March 4. The AC helped to develop talking points for the Governing Board related to the impact of the pandemic on library collections and services. The next Advisory Council meeting will be held on May 21.

2021 Annual Meeting Updates

The 2021 Annual Meeting will be a two-day virtual event held in late July or the first week of August. The working theme is Taking Care of Ourselves, Our Users, and Our Spaces. The tentative plan is to host two keynote speakers and a University Librarian panel discussion that addresses the topic of care in the workplace. As in the past, the Annual Meeting may include lightning talks, presentations, and interactive workshops. In the weeks following the Annual Meeting, TRLN is planning to offer a few workshops related to the theme. 

In the coming weeks, we will announce the exact dates, keynote speakers, and the call for proposals. The theme is intended to provide a common thread to the keynote presentations, panels, and workshops. Presentations do not need to be related to the theme. Please email if you have any questions. TRLN Discovery Updates

The TRLN Discovery development team recently deployed a few different and exciting changes to the shared catalog and discovery layers. These changes are summarized below, but may not be deployed to each institution’s local discovery layer yet. The inclusion of these changes may vary depending on your institution. Our release notes include more information about these updates.

  • Users can search for variants of a name in the LOC authority and will return all results associated with that name. This allows users to more easily find all records associated with a person, place, or organization included in the LCNAF. Alternate or variant names might include name changes, various romanizations, and pseudonyms. A URI must be associated with a record in order to search variants' names.

  • There is now a spellcheck function that will provide users with a set of suggestions based on the spelling of their query. If their query has no results based on the spelling provided, they will see a prompt asking “Did you mean” followed by a set of suggested queries they can select to see results. Search suggestions only display when there are five or fewer results.

    • The suggestions are based on actual words in the catalog index, not a dictionary, so the suggestions themselves may not be spelled correctly but should always produce search results.

    • Some misspelled queries will not produce search suggestions because there are matches in the catalog.

  • When a user searches their local catalog, they will not receive suggestions for items owned by other institutions.

Emily Daly, Head, Assessment & User Experience Department, Duke University Libraries, is one of two candidates up for election as Vice-President/President-Elect of the Association of College & Research Libraries (ACRL). The ALA/ACRL election runs March 8 through April 7 and is open to all current ALA/ACRL members. You can find more information on the ACRL web page. In response to COVID-19, our newsletter will include campus updates and the most recent information about upcoming TRLN events, which may be transitioned to a virtual format, postponed, or canceled.
